13-Day Namibia Luxury Escape – All-Inclusive Travel Experience
Retreat Dates: November 7–19, 2025

These Terms & Conditions outline the agreement between you (“Participant”) and Mel Vandersluis (“Host”) for participation in the 13-Day Namibia Luxury Escape – All-Inclusive Travel Experience. Please read carefully before booking.

1. Retreat Overview

This retreat is a 13-day, all-inclusive luxury travel experience through Namibia, hosted by Mel Vandersluis and Michael Homsy. You’ll explore stunning landscapes, connect deeply with nature, and enjoy curated cultural and adventure-based activities. The group is limited to 8 participants for a more intimate and personalized journey.

2. Price & Payment

  • Cost: $8,465 USD per person

  • A non-refundable deposit of $1,000 USD is required at the time of booking to secure your spot.

  • Optional 3-payment installment plan available:

    • July 1, 2025

    • August 1, 2025

    • September 1, 2025

  • Final payment is due no later than September 1, 2025 (for those not using the payment plan).

  • All credit card and processing fees are the responsibility of the participant.

3. Cancellation & Refund Policy

  • The $1,000 deposit is non-refundable under any circumstances.

  • Cancellations made:

    • More than 75 days before departure: Full refund of all payments made, minus the deposit

    • 45–75 days before departure: 50% refund of total paid, minus the deposit

    • Less than 45 days before departure: No refund

  • All cancellations must be made in writing to be valid.

  • Travel insurance is required to protect against unforeseen personal circumstances.

  • If the Host cancels the retreat, all participants will receive a 100% refund, including the deposit.

Host Attendance Clause:
This retreat is co-hosted by Mel Vandersluis and Michael Homsy. If one host is unable to attend, the retreat will proceed with the other host and local guide team. If both hosts are unable to attend, the retreat will be canceled and participants will receive a full refund.

4. Travel Insurance

Travel insurance is mandatory for all participants. You must provide proof of insurance that includes:

  • Trip cancellation & interruption

  • Emergency medical coverage

  • Lost baggage & travel delays

5. What’s Included

  • Premium accommodations (double occupancy)

  • All meals

  • All beverages (with exceptions)

  • Local transportation throughout the retreat

  • Guided excursions & activities listed in the itinerary

  • Expert local guides

  • Airport transfers to and from Windhoek International Airport

Hotel Substitutions:
We reserve the right to change hotels at any time due to unforeseen circumstances or to improve the retreat experience. Substitutions will be of equal or greater quality.

6. What’s Not Included

  • International airfare

  • Tips and gratuities

  • Certain alcoholic beverages

  • Optional excursions not listed in the itinerary

  • Personal purchases or souvenirs

7. Rooming & Accommodations

  • All accommodations are double occupancy (shared rooms).

  • You may request a specific roommate. If no preference is given, a roommate will be assigned.

  • Private rooms are not available on this retreat.

8. Passports & Entry Requirements

  • A valid passport with at least 6 months’ validity beyond the retreat end date is required.

  • It is the participant’s responsibility to ensure they meet entry and visa requirements for Namibia.

9. Health & Mobility

  • While there are no formal health requirements, participants should be in good health and able to handle moderate physical activity.

  • If you have mobility limitations or medical conditions, please notify us prior to booking.

  • Liability waivers may be required for certain activities involving wildlife or physical risk.

10. Conduct & Expectations

To ensure a respectful and enjoyable experience for all:

  • Show kindness and patience toward hosts, guides, and fellow travelers

  • Understand that this is an adventure — flexibility is key

  • Alcohol is allowed in moderation, but excessive drinking is not permitted

  • The Host reserves the right to remove any participant from the retreat without refund due to disruptive, unsafe, or disrespectful behavior

11. Media & Photography

  • This retreat will be photographed and filmed.

  • By joining, you consent to the use of your image for promotional purposes unless otherwise requested in writing before the retreat.

12. Liability Waiver

  • Participation is voluntary and at your own risk.

  • The Host is not liable for injury, illness, delays, theft, cancellations, or unforeseen circumstances beyond our control.

  • You may be asked to sign a liability waiver for specific excursions.

13. Force Majeure

We are not liable for cancellations, delays, or changes due to events outside our control (e.g. natural disasters, political unrest, weather, pandemics, strikes).

14. Agreement

By submitting payment, you acknowledge that you have read, understood, and agreed to these Terms & Conditions in full.
